Onboarding & Legal Compliance
Q: How do we get started, and how do you protect our practice’s patient data?
A: Getting started is simple and secure. Before any data access or review begins, we execute a standard Consulting/Services Agreement and a HIPAA-compliant Business Associate Agreement (BAA). We then conduct an initial workflow discovery to integrate seamlessly with your current Electronic Health Record (EHR) system.
Q: Do I need to switch my current EHR or billing software to work with you?
A: No. We work directly within your existing system (such as SimplePractice, TherapyNotes, Kareo/Tebra, Axxess, or HHAeExchange) to maintain continuity. If you don't have a system in place or want to upgrade, we can recommend, set up, and configure the ideal platform for your practice.
Specialties & Scope
Q: What types of practices do you specialize in?
A: We specialize in behavioral health, ABA, mental health group practices, private practice counselors, LCSWs, and Medicaid/home health providers, and telehealth medical practices nationwide. Our deep familiarity with state Medicaid, Electronic Visit Verification (EVV) requirements, and major commercial payers ensures maximum claim clean rates.
Q: Can you help us resolve older, unpaid claims or backlogged denials?
A: Yes. We offer targeted Accounts Receivable (A/R) recovery and denial audits. We analyze aging claim reports, identify root-cause denial patterns, correct authorization or coding mismatches, and follow up directly with payers to secure unpaid revenue.
Pricing & Engagement Models
Q: How are your fees structured?
A: We offer clear, predictable pricing with no hidden costs. Depending on your needs, we provide flat-fee workflow setup packages, competitive hourly consulting rates for targeted audits and staff training, and percentage-of-collections pricing for ongoing, full-service revenue cycle management.
Q: Are we locked into a long-term contract?
A: We believe in earning your partnership through measurable results and transparent communication. Our agreements are designed with flexible terms so you maintain full operational control over your practice.
In-House Training & Advisory
Q: What if our internal team just needs help with a specific billing issue or system change?
A: We offer small-scale consulting sessions and hands-on staff training. Whether you need an audit of your prior authorization process, help resolving complex Medicaid EVV delays, or step-by-step training for a new biller on your team, we tailor our advisory to fit your exact operational goals.
Q: Do I have to hand over full control of my billing to work with you?
Not at all. In addition to our full-service RCM package, we offer dedicated in-house system setups and staff training programs designed to optimize your internal operations and empower your own team to manage claims successfully.
